# Automation

The automation module: automate processes without programming and connect equipme with HR, ERP, ticketing system, Microsoft 365 and other systems.

With the **automation module**, you automate processes in equipme and connect equipme with your other systems, via drag & drop and without programming.

**Typical use cases:**

* **Onboarding:** New employee in the HR system → create in equipme → request equipment → create accounts → welcome email.
* **Offboarding:** Departure in the HR system → set status in equipme → retrieve devices → block access.
* **Multi-level approvals:** e.g. supervisor and, above a certain amount, additionally the cost center manager (see [Configuring approvals](/dokumentation/procurement/approval-settings.md#custom-approval)).
* **Data transfer:** invoices to the ERP, devices to device management, assets to internal systems.
* **Notifications:** e.g. a Teams message for certain orders.

## Activation and access

The automation module requires a license. Without a license, administrators only see **"Learn more"** under **"Automation"**, with an overview of the possibilities. Contact your account manager or provider to have it enabled.

| Role                           | Access                                            |
| ------------------------------ | ------------------------------------------------- |
| **"Automation Administrator"** | Full access to all areas of the automation module |
| Administrators | Also have access when the module is active |

## The areas

The **"Automation"** menu contains the following areas:

| Menu item                                                 | Content                                                       |
| --------------------------------------------------------- | ------------------------------------------------------------- |
| [**"Workflows"**](/dokumentation/automation/workflows.md) | Build your own processes (flows) in the flow designer |
| **"Accounts"**                                            | Connected accounts for third-party systems                    |
| **"Insights"** | Logs of all flow executions |
| **"Files"** | Files that flows create or use (e.g. CSV exports) |
| **"Tables"** | Data stores in which flows remember values between executions |

{% hint style="info" %}
Parts of the automation module's interface are only available in English.
{% endhint %}

### "Scope": Personal or team

At the top of every automation page, you choose **"Personal"** (your own flows and accounts) or **"Team"** (your company's shared workspace).

### Accounts

Overview of all connected accounts (e.g. equipme, Microsoft, SAP) with "Usage" (in how many flows the account is used) and "Status". Use **"Test"** or **"Test all"** to check the connection, and **"Revoke"** to withdraw access.

### Insights

Logs of all executions with filters by **"Time range"** and **"Flows"**. Each entry shows the status ("Success"/"Error"), flow, components, timestamp and error details. From within a flow, you open its logs via the "Insights" menu.

### Files and tables

* **"Files"**: upload, download and delete; the "Flow" column shows which flow created the file.
* **"Tables"**: create data stores ("Create store") and maintain entries, e.g. to store IDs that have already been synchronized.

## Connectors

Ready-made **connectors** are available for connecting to equipme and to other systems, e.g. for Microsoft Entra ID, Intune, Business Central, weclapp, Autotask or Zoho Desk. You can find an overview of all connectors and their documentation under [Connectors](/dokumentation/automation/connectors.md). The connection to equipme itself is described by the [equipme connector](/dokumentation/automation/connectors/equipme.md); you generate the required API key under [Integrations → "API key"](/dokumentation/settings/integrations-and-sso.md#api-key).

## Querying This Documentation
If you need additional information that is not directly available in this page, you can query the documentation by asking a question.

Perform an HTTP GET request on the following URL with the `ask` and `goal` query parameters:

```
GET https://hub.equipme.io/dokumentation/automation.md?ask=<question>&goal=<user_goal>
```

`ask` is the immediate question: it should be specific, self-contained, and written in natural language.
`goal` is what the user is ultimately trying to achieve, the reason they need the answer. Sharing it helps GitBook give you a better, more relevant answer. A goal is most helpful when it describes the outcome the user wants rather than restating the question. For example, with `ask=how do I create an API token`, a goal like `automate deployments from our CI pipeline` lets GitBook tailor the answer to that use case.

The response will contain a direct answer to the question and relevant excerpts and sources from the documentation.

Use this mechanism when the answer is not explicitly present in the current page, you need clarification or additional context, or you want to retrieve related documentation sections.
