# Roles and views

Which roles exist in equipme, what they are allowed to do and which menu items you see: "My workspace", "My company" or "My organization".

What you can see and do in equipme is determined by your **roles**. Administrators assign them under **Settings → "Roles and rights"** (see [Roles and rights](/dokumentation/settings/roles-and-permissions.md)). Your roles also determine which menu items you see in the sidebar.

## The roles at a glance

### Company roles (view of the entire company)

| Role              | Can …                                                                                                                                                     |
| ----------------- | --------------------------------------------------------------------------------------------------------------------------------------------------------- |
| **Administrator** | do everything in the company, including settings and role assignment. Only administrators see the quick actions on the dashboard and the "Settings" menu. |
| **Purchaser** | trigger orders and process order requests. |
| **Planner** | plan and prepare orders, but **not** order. |
| **Controller** | view the entire company **read-only**, e.g. for cost and inventory analyses. |

### Roles with a limited area of responsibility

These roles only see data from their own area, i.e. their team, their locations or their services.

| Role                               | Area of responsibility                                                                                                          |
| ---------------------------------- | ------------------------------------------------------------------------------------------------------------------------------- |
| **Supervisor** | Their own employees (everyone for whom they are entered as supervisor). Approves their orders if supervisor approval is active. |
| **Team Manager** | Sees and approves order requests from the employees of their department. |
| **"Location manager (purchaser)"** | Services and employees of specific locations; can order and handle approvals for these locations (location manager). |
| **"Location Manager (Planner)"** | Services of specific locations, **read-only or planning only**; cannot order or approve. |
| **"Business owner"** | The services assigned to them in the inventory (service owner). |

| **Automation Administrator** | Full access to the Automation module: workflows, accounts, insights, files and tables. |

{% hint style="info" %}
One person can have several roles. Typically, every employee gets the **User** role plus, for example, **Supervisor** or **Administrator**.
{% endhint %}

## The sidebar by role

Everyone sees **one** shared sidebar. Your personal **"My workspace"** section is always at the top, followed by the menu items that match your roles.

### "My workspace" (for everyone)

* **"My equipment"**: your own devices, licenses and services plus your profile → [My equipment](/dokumentation/self-service/my-services.md)
* **"My Marketplace"**: request new work equipment for yourself → [Requesting in the self-service](/dokumentation/self-service/requesting-in-self-service.md)
* **"My tickets"**: your support requests (only with Equipme Operate active) → [Support requests and tickets](/dokumentation/self-service/tickets.md)

This is how administrators and managers order work equipment **for themselves** without switching views.

{% hint style="warning" %}
Requests via "My Marketplace" go through the configured **approval process**, regardless of which other roles you have.
{% endhint %}

### Company menu "My company"

For **administrators, purchasers, planners and controllers**. Below "My workspace" follows the **"My company"** section, each item depending on your permissions:

* **"Dashboard"**
* **"Marketplace"** (ordering for the company, e.g. for employees or locations)
* **"Approvals"** (number = open approval requests)
* **"Order requests"** (number = open order requests)
* **"Company"**: "Locations", "Groups", "Employees"
* **"Assets"**: "Inventory", "Warehouse management", "Service catalog"
* **"Controlling"**: "Orders", "Cost management", "Invoices"
* **"Offer management"**: "Service portfolio", "Suppliers", "Order processing", "Template management"
* **"Automation"**: sub-items depending on the enabled scope
* A group with the company's **own links** (if set up)
* At the bottom: **"Settings"** (administrators only)

### Manager menu "My organization"

For **supervisors, location managers and business owners** who don't have a company role. Below "My workspace" follows the **"My organization"** group with:

* "Dashboard", "Marketplace", "Approvals", "Order requests"
* "Locations" (location managers only), "Employees" (supervisors only), "Inventory", "Orders"

Plus "Service portfolio" and "Order processing" if you have the corresponding specialist role, and the company's own links. Lists here only show records from your area of responsibility.

### "User" role only

Employees without any other role only see **"My workspace"**, possibly extended by individual entries for which they have additional permissions (e.g. "Order requests"), and the company's own links. After signing in, they land directly on "My equipment". Details: [Employee self-service](/dokumentation/self-service.md).

Which menu you get depends on your roles and cannot be switched manually.

## Frequently asked questions

**I don't see a menu item that is described here.**

You are missing the appropriate role, or the module is not active for your company. Your administrator can check your permissions under "Roles and rights".

**I don't see "Settings".**

Settings are reserved for administrators.

**Why don't I see all employees as a supervisor?**

Under "My organization", you only see employees for whom you are entered as supervisor.

**Where is the "Company" / "Self-service" switch?**

It no longer exists. Your personal areas are now always at the top of the sidebar under "My workspace", with the management menus directly below.

## Querying This Documentation
If you need additional information that is not directly available in this page, you can query the documentation by asking a question.

Perform an HTTP GET request on the following URL with the `ask` and `goal` query parameters:

```
GET https://hub.equipme.io/dokumentation/getting-started/roles-and-views.md?ask=<question>&goal=<user_goal>
```

`ask` is the immediate question: it should be specific, self-contained, and written in natural language.
`goal` is what the user is ultimately trying to achieve, the reason they need the answer. Sharing it helps GitBook give you a better, more relevant answer. A goal is most helpful when it describes the outcome the user wants rather than restating the question. For example, with `ask=how do I create an API token`, a goal like `automate deployments from our CI pipeline` lets GitBook tailor the answer to that use case.

The response will contain a direct answer to the question and relevant excerpts and sources from the documentation.

Use this mechanism when the answer is not explicitly present in the current page, you need clarification or additional context, or you want to retrieve related documentation sections.
