# Suppliers

Manage suppliers: connected platform suppliers (Partner Connect), invitations and offline suppliers you maintain yourself; process orders manually.

**Path:** sidebar → **"Offer management" → "Suppliers"**

Here you keep track of all suppliers: "those connected via equipme and those you created yourself."

**Availability:** Standalone customers always have this page. Hosted customers only see it if their provider has enabled supplier management; they can then maintain offline suppliers. The purchasing permission is also required.

## Two types of suppliers

| | **Platform supplier** | **Offline supplier** |
| -------------------------- | ------------------------- | ------------------------------------- |
| Uses equipme itself | ✓ | – |
| Offers maintained by | the supplier | you |
| Orders reach the supplier | automatically via equipme | **manually** (email, web shop, phone) |
| Order status maintained by | the supplier | you |
| "Order type" in the list | "Platform" | "Manual" |

In the Marketplace, both types appear together in the "Suppliers" filter.

## The supplier list

* Key figures: "Total orders", "Open order items", "Total offers".
* Columns: logo, "Supplier", "Website", "Customer number", **"Order type"** ("Platform", "Manual", "Pending invitation", "Invitation expired").

## Adding a supplier

**"Add supplier"**. Standalone customers have three options:

1. **Search for platform suppliers** (by name, description or website) and **"Request partnership"**. The partnership is active immediately and the supplier is notified. You can then adopt their offers individually or in full.
2. **"Add a supplier yourself"**: you create an offline supplier.
3. **"Add Partner Connect"**: you invite a supplier who does not use equipme yet.

Hosted customers go directly to the offline supplier form.

### Offline supplier form

* **"Branding"**: "Logo" and "Banner". With **"Find supplier"**, you automatically adopt the name, website and logo via the supplier's web domain.
* **"Name"** (required), "Website", **"Customer number"** (your customer number with the supplier), "Note", "Address".
* **"Order recipients"**: email addresses to which orders should be sent.
* **"Contacts"**: name, email, phone, description; optionally "Add contact as order recipient".
* Optionally **"Send invitation"** to a contact so that the supplier uses equipme itself.

## The supplier detail page (offline supplier)

The header shows the name, website, location and, if entered, your "Customer number" with the supplier.

| Tab | Content |

| **"Offers"** | All services and offers from this supplier. The **"Service-centered list"** toggle groups the offers by service; switched off, each offer is shown as its own row. With **"Add"**, you directly create a new product, service or add-on whose offer is assigned to this supplier. |
| **"Open order items"** | Open items from orders with this supplier, with "Set status" |
| **"Orders"** | All orders with this supplier |

Under **"Actions"** you find "Find branding" and "Delete supplier".

## Assigning offers to a supplier

The supplier is attached to the **individual offer, not to the service**. A service (or product) is the entry in the Marketplace, e.g. "Notebook 14 inch". Below it are its **offers** with price, term and offer type, e.g. "Purchase" and "Rental 36 months". A product has exactly one offer, a service can have several.

| Origin of the service | Supplier per offer |
| --------------------------------------------------------------------------------------------------------------- | ------------------------------------------------------------------------------------------------------------------------------------------------------------------------------------------------------------------------------------------------------------------------------------ |
| Service of a **platform supplier** | The service and all its offers come from this supplier; orders reach it automatically. |
| **Own service** from the [service portfolio](/dokumentation/offer-management/service-portfolio.md) ("Internal") | Each offer has **no or exactly one** offline supplier. Different offers of the same service can be with different offline suppliers. You provide an offer **without** a supplier yourself and process it in [Order processing](/dokumentation/offer-management/order-processing.md). |

How to assign an offer of an own service to an offline supplier:

* In the [service portfolio](/dokumentation/offer-management/service-portfolio.md) when creating or editing an offer, in the **"Supplier (optional)"** field. Only the suppliers you manage yourself are available. Or
* on the supplier detail page in the "Offers" tab → "Add".

## Processing orders with offline suppliers

1. When ordering, **a separate order is created for each offline supplier** (visible under [Orders](/dokumentation/procurement/orders.md), "Supplier" column).
2. **Send the order** to the supplier in your usual way, e.g. by email to the order recipients or via their web shop. equipme does not send it automatically.
3. Track the progress: supplier → **"Open order items"** tab → select items → **"Set status"**, e.g. "Ordered (confirmed)", "In progress", "Ready for delivery" and finally "Completed" with an activation date. You can finish items in the "Delivery requested (outgoing)" status with a location assignment using **"Complete directly"**.
4. Completed items become **active services** in the inventory; from then on, costs are incurred.

You process items for your own services without an offline supplier in [order processing](/dokumentation/offer-management/order-processing.md).

## Frequently asked questions

**The "Suppliers" page is missing.**

For hosted customers, the provider must enable supplier management. The purchasing permission is also required.

**Can I convert an offline supplier into a platform supplier later?**

Invite the supplier via "Send invitation". If they accept, they use equipme as their own company. Your existing entry remains as an offline supplier ("Manual").

## Querying This Documentation
If you need additional information that is not directly available in this page, you can query the documentation by asking a question.

Perform an HTTP GET request on the following URL with the `ask` and `goal` query parameters:

```
GET https://hub.equipme.io/dokumentation/offer-management/suppliers.md?ask=<question>&goal=<user_goal>
```

`ask` is the immediate question: it should be specific, self-contained, and written in natural language.
`goal` is what the user is ultimately trying to achieve, the reason they need the answer. Sharing it helps GitBook give you a better, more relevant answer. A goal is most helpful when it describes the outcome the user wants rather than restating the question. For example, with `ask=how do I create an API token`, a goal like `automate deployments from our CI pipeline` lets GitBook tailor the answer to that use case.

The response will contain a direct answer to the question and relevant excerpts and sources from the documentation.

Use this mechanism when the answer is not explicitly present in the current page, you need clarification or additional context, or you want to retrieve related documentation sections.
