# Groups (organizational units)

Groups (organizational units) such as departments, teams and projects: types, group roles, templates, tags and use in approvals.

**Path:** sidebar → "My company" → **"Company" → "Groups"**

Groups map your company's organizational structure: departments, teams, projects or (subsidiary) companies. An employee can belong to several groups.

## What groups are used for

* **Approvals:** With the approval type "Department Manager Approval", the managers of the employee's **departments** approve (see [Configure approvals](/dokumentation/procurement/approval-settings.md)).
* **Automatic equipment:** The group's onboarding template ("Template" tab) automatically assigns services to new members.
* **Reservation:** Services, e.g. in the warehouse, can be reserved for a group.
* **Responsibilities in the Service Portfolio:** Groups can manage services, process orders or act as service owner (see [Service Portfolio](/dokumentation/offer-management/service-portfolio.md#responsibilities)).
* **Self-service tags:** Tags on a group apply to all members.
* **Filters and analyses** in lists and in controlling.

## Group types

| Type             | Use                                                                                  |
| ---------------- | ------------------------------------------------------------------------------------ |
| **"Department"** | Business departments. **Only this type** counts for the department manager approval. |
| **"Team"** | Teams within or across departments |
| **"Project"**    | Project groups                                                                       |
| **"Company"** | Companies within a group of companies |
| **"Custom"** | Everything else (default when creating) |

{% hint style="warning" %}
The **type cannot be changed after creation.** If the wrong type was chosen, create the group again.
{% endhint %}

## Group roles

Every member has a **"Group role"** in a group:

| Group role           | Meaning                                                                                                                                                                                                                                                                                                                                                                                                        |
| -------------------- | -------------------------------------------------------------------------------------------------------------------------------------------------------------------------------------------------------------------------------------------------------------------------------------------------------------------------------------------------------------------------------------------------------------- |
| **"Member"**         | Regular member                                                                                                                                                                                                                                                                                                                                                                                                 |
| **"Manager"** | Leads the group. Automatically receives the **"Team Manager"** role and may view and approve order requests of the group members. |
| **"Deputy Manager"** | With "Department Manager Approval", receives the approval requests of the department members **just like the manager** (as an approver, not only as an observer). Does **not** automatically receive the "Team Manager" role. So that the deputy can also decide requests, assign a role with approval rights, e.g. "Team Manager" (see [Roles and rights](/dokumentation/settings/roles-and-permissions.md)). |

## Creating a group

1. Click **"New"**.
2. Enter **"Name"** (required) and **"Type"** (required).
3. Optional: "Company name", "Category" (free text with suggestions), "Email", "Description".
4. Save.

## The group detail page

* **"Employees" tab:** **"Add"** or **"Remove"** members and change the group role with **"Set role"**. When members are added, the services of the group template are assigned automatically.
* **"Services" tab:** Assign services to the group or reserve them for it. Those involved are informed by email.
* **"Template" tab:** "All employees in the group automatically receive the services defined in this template." With the "Active" switch and "Use free inventory first", as for the [location](/dokumentation/organization/locations.md#template-tab). This is an onboarding template, not a Marketplace template from [template management](/dokumentation/offer-management/template-management.md). If you assign a Marketplace template to a group there in the "Groups" tab, the members do not receive anything automatically.
* **"Further information" tab:** your own [custom fields](/dokumentation/organization/additional-information.md).

## Tags

In the group list, use **"Actions" → "Add tags" / "Remove tags"** to add tags to several groups at once. Group tags are **inherited** by all members. Inherited tags cannot be removed in the employee profile; tags assigned manually to the employee remain separate. Among other things, tags control which offers employees see in self-service (see [Enable self-service](/dokumentation/self-service/self-service-setup.md)).

## Deleting a group

Via **"Actions" → "Delete"** or on the detail page. Only possible if no employees and no services are assigned to the group anymore.

## Frequently asked questions

**The department manager approval does not take effect.**

Check whether the group has the type "Department", whether the employee is a member and whether someone has the group role "Manager" or "Deputy Manager". Without a manager, there is no automatic forwarding to the supervisor.

**What is the difference between supervisor and group manager?**

The supervisor is entered directly on the employee. The group manager results from the group role. Which of the two approves is determined by the [approval type](/dokumentation/procurement/approval-settings.md).

## Querying This Documentation
If you need additional information that is not directly available in this page, you can query the documentation by asking a question.

Perform an HTTP GET request on the following URL with the `ask` and `goal` query parameters:

```
GET https://hub.equipme.io/dokumentation/organization/groups.md?ask=<question>&goal=<user_goal>
```

`ask` is the immediate question: it should be specific, self-contained, and written in natural language.
`goal` is what the user is ultimately trying to achieve, the reason they need the answer. Sharing it helps GitBook give you a better, more relevant answer. A goal is most helpful when it describes the outcome the user wants rather than restating the question. For example, with `ask=how do I create an API token`, a goal like `automate deployments from our CI pipeline` lets GitBook tailor the answer to that use case.

The response will contain a direct answer to the question and relevant excerpts and sources from the documentation.

Use this mechanism when the answer is not explicitly present in the current page, you need clarification or additional context, or you want to retrieve related documentation sections.
