Transfer and Return Documents

Transfer and return documents are the paper trail of your asset handovers. They record which devices and services an employee receives when they join or change roles, and what comes back when they leave. Signed, they show who had what, and since when.

You create them in the employee details view under Documents:

  • Transfer document for everything handed over to the employee

  • Return document for everything coming back

The Documents menu in the employee details view

Choose what the document shows

Before the PDF is created, you decide which columns it contains.

Choosing the columns for the document
  • Hide what you don't need. Every standard column can be switched off. A short document is quicker to check and sign.

  • Put things in your order. Drag the columns into the sequence that matches how your team reads the document.

  • Add additional information. The additional information stored on your assets, such as serial number, IMEI or service tag, is available as extra columns. The values come from each asset, so if an asset has no value for a field, that cell stays empty. Complete asset data means complete documents.

Your setup is remembered

You configure the columns once, and the next document looks the same without going through the settings again. Reset takes you back to the standard layout.

Why it's worth setting up

Not every team needs the same document. One wants device identifiers on the page, another a short overview that's quick to sign. With the right columns, the document shows exactly what your process asks for, and the details come straight from the asset instead of being typed in by hand.
