Connecting your HR system
With HR Sync, equipme can retrieve employee and organisational data directly from your HR system, keeping employees, groups and company structures up to date without manual maintenance.
In this article, you will learn how to set up equipme with your specific HR data source.
Setting up the integration
To set up the integration, go to Settings → Integrations and select the HR Sync tab. Find your HR system and click Add to set up the integration.
If you cannot find your HR system, please contact us – we may already be working on an integration.
Technical identity systems such as Microsoft Entra ID and Google Workspace are always a good fallback, but we recommend connecting to your HR system if possible, as the data is usually better maintained and more organisational information is available (e.g. cost centres and department affiliations).

Selecting your HR system
After selecting your HR system, a list of supported attributes will be displayed that are read by Equipme as mandatory or optional. Here you can decide which optional attributes you would like to transfer to Equipme in the future.


After you have checked the attributes, click on Continue.
Follow the Connection Guide
Every of our 100+ HR system integrations is a little different, though – logins, scopes, permissions, field mapping.
To ensure a smooth setup process, equipme provides a dedicated connection guide for each supported HR integration. These guides explain what is required, which permissions need to be granted, and the exact steps necessary for successful synchronisation.
The connection guide can be found at the bottom of the dialogue box (see screenshot).

Filter which employees are to be synchronised
Once the setup wizard is complete and before synchronisation begins, you can use the filter icon to control which employees are to be synchronised in Equipme based on various criteria (e.g. locations/groups).

Important: Especially in very large corporate structures and depending on the HR source used, compiling the filters may take several minutes, as all data must first be read in once.

Starting the synchronization
Once you have completed the filtering, you can start (play button) the synchronization, which will automatically run every 3 hours and maintain the system entities: locations, groups, and employees.
