# Offers and pricing

Offers define a service's price, term, offer type and availability: for direct customers, selected customers or partners, with variant surcharges and price synchronization.

**Path:** "Portfolio Management" → "Service portfolio" → open a service → **"Offers"** tab

A service on its own can't be ordered yet. Only an **offer** states at what price, with what term and for whom the service is available. A service can have several offers, e.g. rental over 24 and 36 months, a purchase offer and a special price for a key account. The offer the customer chooses when ordering determines what they are charged.

## Two levels: service and offer

You control who sees a service on two levels:

| Level       | Where                                                    | Effect                                                                                                    |
| ----------- | -------------------------------------------------------- | --------------------------------------------------------------------------------------------------------- |
| **Service** | "Details" tab → "Customized service" | "All customers" or only selected customers see the service at all. Only for configuration type "Service". |
| **Offer** | "Offers" tab → "Offer available to all direct customers" | This offer applies to all your direct customers or only to the selected customers or partners. |

A customer can only order a service if they are allowed to see it **and** at least one offer applies to them.

{% hint style="info" %}
"Available to all customers" can therefore mean three different things: releasing the service for all customers (service level), opening an offer to all direct customers (offer level) or activating an offer for all countries (country restriction). If in doubt, check all three.
{% endhint %}

## Creating an offer

1. In the "Offers" tab, click **"Add"** (or in the service list, right-click → "Create offer").
2. Fill in the fields (see below).
3. For services with options, set the **"Surcharge for variants"**.
4. Save.

Services of configuration type "Product" have exactly one offer ("Simple products can only have one offer.").

### Fields

| Field                                                                        | Meaning                                                                                                                                                                                                                                     |
| ---------------------------------------------------------------------------- | ------------------------------------------------------------------------------------------------------------------------------------------------------------------------------------------------------------------------------------------- |
| "Offer name (Optional)" | Your own name, e.g. "Framework agreement 2026" |
| **"Offer type"** | "Rent" (preselected), "Purchase", "Leasing" or "Subscription". For add-ons, "Purchase" is fixed. |
| "One-time price"                                                             | "One-time cost of the service upon ordering"                                                                                                                                                                                                |
| "Monthly price" | "Monthly recurring costs of the service". Also possible for purchase, e.g. for included service components. |
| Currency | Shown next to the prices. The default is your company's currency. |
| "Term (months)" | "The minimum term of the service until termination and cancellation are possible" |
| "Automatic term extension" / "Term extension (months)" | By how many months the service is automatically extended after the term. If automatic extension is off, the service is automatically cancelled at the end of the term. For purchase, 0 means: can be terminated at any time after the term. |
| "Different invoice issuer" (for leasing "Lessor (different invoice issuer)") | Name of the company that bills instead of you, e.g. a leasing company |
| "Allow pre-orders" | Customers can pre-order and call off later via delivery call-off. Available when editing an offer. |
| "Activate offer for all countries" | Off: only customers in the selected countries see the offer |
| **"Offer available to all direct customers"** | See [Assigning customers and partners](#assigning-customers-and-partners) |
| "Enable price synchronization" | Only for "Product" + "Purchase", see [Price synchronization](#price-synchronization) |

{% hint style="warning" %}
After saving, the **offer type, term, currency** and, for subscriptions, the **subscription type and billing cycle** can no longer be changed. If you need different values, create a new offer (e.g. with "Create a copy") and delete the old one.
{% endhint %}

{% hint style="warning" %}
Offers with a **different invoice issuer** are not charged via [Billing](/pro/sales/billing.md) in Equipme Pro and must be billed externally.
{% endhint %}

### Offer type "Subscription"

For subscriptions, instead of term and one-time price you choose:

* "Subscription type"
* "Subscription term"
* "Billing cycle", e.g. "Monthly" or "Annually"
* "Automatic term extension"
* "Recurring costs"

"Subscription" can only be selected if subscription types are stored for your company.

### Surcharges for variants

"Here you can set the prices for the different variants of the service. If you don't specify a price, the variant is not available in this offer."

For each variant, you enter "One-time price" and "Recurring costs". Mandatory options are marked. "Clear price fields" resets all fields. In the marketplace, the customer sees the base price plus the surcharge of the selected variants.

## Assigning customers and partners

The **"Offer available to all direct customers"** switch decides:

* **On:** The offer applies to all your direct customers, including future ones. The offer list shows "All direct customers".
* **Off:** A customer list appears below. Select the customers who receive the offer. Without a selection, the list shows "Not available to any customer".

You'll also find your **partners** in the customer list. If you select a partner, they can activate the offer for their own customers via [Partner Connect](/pro/portfolio/partner-connect.md).

{% hint style="info" %}
"All direct customers" does **not** include your partners' customers. You only reach partner customers if you explicitly assign the offer to the partner or (with an active direct connection) to individual partner customers.
{% endhint %}

### Individual offers for a customer

In the [customer details](/pro/customers/customer-details.md), in the "Offers" tab, you see all offers that apply to this customer, either service-centered or offer-centered. The "Assignment" column shows the origin:

| Assignment         | Meaning                                                                      |
| ------------------ | ---------------------------------------------------------------------------- |
| "Global offering" | Comes from your general portfolio ("for all direct customers") |
| "Individual offer" | Created and customized for this customer only |
| "Grouped offer" | Assigned to several selected customers, but not part of the global portfolio |
| "Brokered offer" | Assigned to a partner who has activated it for their customers |

There, you use **"Create individual offer"** to create an offer for this customer only, e.g. with a special price. For an offer with several customers, you can take individual customers out via **"Remove customer"**.

## The offer list

Columns: "Name", "Customer" or "Partner", "Available countries", "Term", "Price synchronization active", "Monthly price", "One-time price", "Currency", "Term extension", "Type", "Allow pre-orders", "Different invoice issuer". Via "Offers by term" you see the offers grouped.

Actions per offer: "Edit", "Set as default" / "Remove as default", "Remove customer", "Delete".

### Default offer and marketplace preview

* **Default offer:** A service needs at least one default offer ("A service requires at least one standard offer. Process is canceled!"). It is preselected in the marketplace.
* **"Standard preview in Marketplace":** Which offer type (e.g. rental or purchase) the customer sees first in the overview.

### Deleting an offer

When deleting, Equipme Pro shows the consequences:

* **Last offer for at least one customer:** Depending on whether the customers have access to your global portfolio, they then see the service at your standard conditions or not at all.
* **Last offer of the standard preview:** The preview switches to the offer type of the next offer.
* You can't delete the **last offer** of a service. Deactivate the service instead or create a new offer first.

## Changing prices

If you change the price of an existing offer, the new price applies to future orders. Services that have already been ordered continue to be billed at the price at which they were ordered. For many services at once, use the [bulk update](/pro/portfolio/product-import.md#bulk-update-of-the-service-portfolio).

## Price synchronization

For services of type "Product" with offer type "Purchase", you can **"Enable price synchronization"**: "Enable automatic price calculation and updating based on the sales prices of the mapped products."

* Prerequisite: The service's mapping contains at least one product with a "Selling price" (see [Product master data](/pro/portfolio/products.md)).
* Only enable synchronization once the mapping is released.
* If a product's selling price changes, e.g. through synchronization with a distributor catalog, the service price adjusts.

## Permissions

"Portfolio Manager" and "Administrator" may create and change offers. Whether users see prices at all depends on their role (see [Roles](/pro/administration/roles-and-permissions.md)).

## What the customer sees

In the marketplace, the customer only sees the offers that apply to them, with price, term and offer type. If there are several offers, they choose when ordering. See the customer guide, chapter Marketplace.

## Frequently asked questions

**Why can't I change the term of an offer?**

Term, offer type and currency are fixed after creation. Create a new offer and delete the old one.

**Why is "Offer available to all direct customers" grayed out?**

You are creating the offer from the view of a single customer. It is then automatically assigned to this customer only. For general offers, switch via "To the portfolio view".

**A customer doesn't see a variant. Why?**

No price is stored for this variant in the customer's offer. Without a price, the variant is not available in this offer.

**How do I offer a service to a partner?**

In the offer, turn off "Offer available to all direct customers" and select the partner in the customer list. Details under [Partner Connect](/pro/portfolio/partner-connect.md#providing-offers-as-a-partner).

## Querying This Documentation
If you need additional information that is not directly available in this page, you can query the documentation by asking a question.

Perform an HTTP GET request on the following URL with the `ask` and `goal` query parameters:

```
GET https://hub.equipme.io/pro/portfolio/offers-and-pricing.md?ask=<question>&goal=<user_goal>
```

`ask` is the immediate question: it should be specific, self-contained, and written in natural language.
`goal` is what the user is ultimately trying to achieve, the reason they need the answer. Sharing it helps GitBook give you a better, more relevant answer. A goal is most helpful when it describes the outcome the user wants rather than restating the question. For example, with `ask=how do I create an API token`, a goal like `automate deployments from our CI pipeline` lets GitBook tailor the answer to that use case.

The response will contain a direct answer to the question and relevant excerpts and sources from the documentation.

Use this mechanism when the answer is not explicitly present in the current page, you need clarification or additional context, or you want to retrieve related documentation sections.
