# Billing

Under "Billing" you see the monthly invoices to your customers and their invoice items, download invoices as PDF and export them.

**Path:** "Sales" → "Billing"

Equipme Pro automatically creates an invoice for your customers once a month covering the active services and the one-time costs of new orders. On this page you see all invoices for a month, open the individual invoice items and download invoices as a PDF or Excel file.

## How invoices are created

* **Billing day:** Every customer has a billing day (1 to 31). Their invoice is created on this day. If a month has fewer days, the last day of the month applies. You set the billing day per customer in the [customer details](/pro/customers/customer-details.md), as long as the customer doesn't have any active services yet. New customers start with the default billing day stored for your company; you can't change this default yourself in Equipme Pro. Contact your equipme contact person for that.
* **Invoice items:** Each active service generates an item according to the billing interval of its offer, e.g. "Monthly" or "One-time". Credits appear as an item of type "Refund", all others as "Fee".
* **One invoice per customer and billing day:** All of a customer's items that are open up to that point are combined into one invoice. If there are no open items, no invoice is created for this customer.

{% hint style="warning" %}
Offers with a **"Different invoice issuer"** (e.g. leasing via a lessor) are not billed through Equipme Pro. They don't appear on the invoices and must be billed externally. See [Offers and pricing](/pro/portfolio/offers-and-pricing.md).
{% endhint %}

{% hint style="info" %}
A customer's billing day can only be changed as long as they don't have any active services with you yet.
{% endhint %}

## The invoice overview

1. In the top right, you select the **month**. All invoices with a billing date in this month are shown.
2. Use the search to find individual customers or invoices.

### Invoice as PDF

Click the PDF icon in the "Invoice" column. The invoice is generated and downloaded (file name "Rechnung\_" plus the invoice number).

### Export

Use the export button to download an Excel file for the selected month. It contains two worksheets: "Invoices" and "Invoice items".

## Invoice details

Clicking an invoice opens the detail view:

* Header with "Invoice #*number*", invoice date and customer name
* Cost overview with recurring and one-time costs
* Table of all invoice items with "Instance ID", "Service name", "Type" ("Fee" or "Refund"), "Cost", "Billing interval", "Start date", "End date", "Location", "Employee", "Employee cost center" and "Group"

Here, too, you can export the items as an Excel file.

## Invoices of a single customer

In the [customer details](/pro/customers/customer-details.md), the billing tab shows the same table, filtered to this customer.

## What the customer sees

If the billing module is enabled for the customer ("Enable billing module" in the customer details), they see their invoices in their customer portal under "Controlling" → "Invoices". For details, see the customer guide, chapter Invoices.

## Permissions

The page is visible to users with read access to billing, by default "Administrator" and "Billing reader" ("Billing readers have read access to customer bills.").

## Frequently asked questions

**Why is a customer missing from the list?**

There were no open invoice items for them in the selected month, or their billing day falls in a different month. Also check whether their services run through a different invoice issuer.

**Can I edit or cancel an invoice here?**

No. The page is for viewing and exporting. Credits appear on invoices as items of type "Refund".

**Can I pass the invoices on to my accounting department?**

Yes, via the Excel export or the PDF invoices. For automatic transfers to other systems, you can use [Automation](/pro/automation.md).

**Are services whose term has ended still billed?**

No. Only active services whose expiration date is after the billing date are billed.

## Querying This Documentation
If you need additional information that is not directly available in this page, you can query the documentation by asking a question.

Perform an HTTP GET request on the following URL with the `ask` and `goal` query parameters:

```
GET https://hub.equipme.io/pro/sales/billing.md?ask=<question>&goal=<user_goal>
```

`ask` is the immediate question: it should be specific, self-contained, and written in natural language.
`goal` is what the user is ultimately trying to achieve, the reason they need the answer. Sharing it helps GitBook give you a better, more relevant answer. A goal is most helpful when it describes the outcome the user wants rather than restating the question. For example, with `ask=how do I create an API token`, a goal like `automate deployments from our CI pipeline` lets GitBook tailor the answer to that use case.

The response will contain a direct answer to the question and relevant excerpts and sources from the documentation.

Use this mechanism when the answer is not explicitly present in the current page, you need clarification or additional context, or you want to retrieve related documentation sections.
