# Stock warehouse

Stock warehouse in Equipme Pro: view and export stock per batch and storage location, book inventory without an order, change storage location and withdraw goods.

**Path:** **"Warehouse" → "Warehouse"**

The stock warehouse is your own stock. Here you see which stock items you have on hand and where, how many are unassigned and how many are reserved for customer orders. You can book in stock without an order, relocate goods and withdraw them.

## The stock list

Each row is a **batch**, i.e. one booking of a product at a storage location. Only batches that still contain goods are shown.

| Column                 | Content                              |
| ---------------------- | ------------------------------------ |
| "Name", "Manufacturer" | Product                              |
| "Storage location"     |                                      |
| "Booked in on" | Date of the booking |
| "Available"            | Unassigned devices ("Stored")        |
| "Reserved" | Devices reserved for customer orders |
| "Total"                | Available + Reserved                 |
| "Recorded by" | Who booked it in |

Clicking a row opens the **"Batch details"** with name, "Booked in on", "Quantity", "Storage location", "Recorded by", the related "Order number" (with a link to the order if you have procurement permissions) and "Comment".

### Export

Use the table's export button to download the filtered stock as an Excel file. The export additionally contains "Total in stock", "Originally entered quantity", "Unit price" and "Standard price / unit".

## Book inventory

With **"Book inventory"** you book in goods that did not come through an order in equipme, e.g. during initial setup, after a stocktake or for returned goods.

1. Click **"Book inventory"**.
2. Select the product. Only products defined as **"Stock item"** are available. For configurable products, make sure you pick the exact configuration.
3. Enter:
   * **"Quantity"** (1 to 1000 per booking),
   * **"Storage location"** (existing or new),
   * **"Booking date"** (not in the future),
   * **"Comment"** (required, e.g. "Stocktake 2026").
4. Click **"Save"**.

For large quantities this may take a moment ("Booking in progress"). The new devices are "Stored" immediately.

{% hint style="success" %}
If customer orders are waiting for this product ("Awaiting purchase"), equipme automatically reserves the newly booked devices for these orders. The positions then appear in picking, and the order proposal is reduced accordingly.
{% endhint %}

## Change storage location

Via a row's three-dot menu → **"Change storage location"**. Enter the new storage location: "Please enter the new storage location for this batch." A new name creates the storage location automatically. The whole batch is always relocated.

## Stock withdrawal

Via the three-dot menu → **"Stock withdrawal"** you withdraw goods outside of a customer order, e.g. due to a defect, loss or internal use. Details under [Stock withdrawals](/pro/warehouse/stock-withdrawals.md#manual-withdrawal).

## Permissions

View: "Warehouse controller". Book inventory, change storage location, withdraw, create warehouse: "Warehouse Manager" and "Administrator". Without write access, "Book inventory" is grayed out.

## Frequently asked questions

**A product is missing from the selection in "Book inventory".**

It is not marked as "Stock item". Enable this in the [product master data](/pro/portfolio/products.md).

**Why does "Available" go down even though nothing was withdrawn?**

New customer orders have automatically reserved unassigned devices. They are now listed under "Reserved".

**How do I see the total stock of a product across all storage locations?**

Filter or sort the table by "Name". You can see the calculated availability including incoming goods and open demand in the [order proposals](/pro/procurement/order-proposals.md).

**How do I value my stock?**

Export the list. The export contains the purchase price and standard price per unit.

## Querying This Documentation
If you need additional information that is not directly available in this page, you can query the documentation by asking a question.

Perform an HTTP GET request on the following URL with the `ask` and `goal` query parameters:

```
GET https://hub.equipme.io/pro/warehouse/stock-warehouse.md?ask=<question>&goal=<user_goal>
```

`ask` is the immediate question: it should be specific, self-contained, and written in natural language.
`goal` is what the user is ultimately trying to achieve, the reason they need the answer. Sharing it helps GitBook give you a better, more relevant answer. A goal is most helpful when it describes the outcome the user wants rather than restating the question. For example, with `ask=how do I create an API token`, a goal like `automate deployments from our CI pipeline` lets GitBook tailor the answer to that use case.

The response will contain a direct answer to the question and relevant excerpts and sources from the documentation.

Use this mechanism when the answer is not explicitly present in the current page, you need clarification or additional context, or you want to retrieve related documentation sections.
